Diesel Parts Quotation Checklist: What to Send Before You Order
By SEKOPART · Published
A useful diesel parts enquiry identifies the exact item, the quantity and where it needs to go. Send those details together with readable photographs so the quotation can address the part you need, rather than a similar-looking item.
This checklist is intended for parts distributors, workshops and fleet purchasing teams requesting injectors, injector components, pumps or engine parts.
Start with the exact item
State whether you need a complete assembly or an internal component. An injector, nozzle and control valve are different items even when they are used in the same assembly. Record the number from the part itself and identify any reference taken from a box, catalogue or previous invoice separately.
For an injector, include the complete body markings. For a loose component, add the parent injector reference if available. If a number is uncertain, send a close-up and mark the unreadable characters instead of filling in a likely match.
Use our injector part number identification guide to prepare the reference photographs.
Add application information
Include the engine manufacturer, model and serial number when available. The machine or vehicle model is useful supporting information. Mention a replacement engine or a previous fuel-system change if it affects the hardware now fitted.
Ask the supplier to confirm the proposed reference. A matching appearance or a familiar machine model alone does not settle every detail of the application.
Specify quantity, condition and scope
List the quantity required for each reference. State the condition you want, such as new or remanufactured, and ask the supplier to confirm what will actually be supplied.
For a kit or assembly, ask whether seals, fittings or other accessories are included. When requesting several items, number each line and attach the corresponding photograph to avoid mixing references.
Include the delivery destination
Send the delivery country, city and postal code. Give the required date if there is a deadline. Ask for the shipping method, estimated dispatch timing and the delivery assumptions used in the quotation.
Availability, freight and lead time should be confirmed for the actual enquiry. A product listing is a starting point for a quotation; it does not by itself confirm stock for a particular quantity or date.

Compare quotations on the same basis
Compare the quoted reference, condition, quantity and included items before comparing the total price. Check whether freight is included and whether the delivery estimates use the same assumptions.
For an injector component, the requested evidence should relate to that component. Ask what inspection or testing information is available and how it is associated with the supplied item.
